How to export your data from ServiceTrade (and the 30-day window)

How to export data from ServiceTrade: the job list export, the gated API, the 30-day download window in its MSA and what to request in writing.

Updated October 15, 2026 · 8 min read

The steps at a glance

  1. 1

Read your Order and the MSA

Find your term end date and renewal terms. ServiceTrade's MSA renews for one-year terms and needs 30 days' written notice of non-renewal; after termination your data is downloadable for 30 days.

  2. 2

    Export your job list

Open the job list, search for the jobs you want, then choose Export to Spreadsheet and Jobs, as ServiceTrade's own integration guide shows. Run it in date ranges for long histories.

  3. 3

Ask ServiceTrade how to export everything else, in writing

ServiceTrade's help center requires a login. Ask support which screens export companies, locations, assets, contracts, quotes, invoices, deficiencies and inspection reports, and in what format.

  4. 4

    Save inspection reports and deficiencies

Download the inspection and deficiency reports you're obliged to keep for customers and authorities, plus photos and signed documents.

  5. 5

    Reconcile with your accounting system

Compare open A/R and invoices in ServiceTrade with QuickBooks, Intacct, Vista or whichever system it syncs to.

  6. 6

Consider the API only with a developer

ServiceTrade's REST API requires a developer review before an app key is issued. Use it only if a developer you trust needs it.

  7. 7

Download within 30 days of termination

If anything is left, download it inside the 30-day window in §11.c of the MSA, then store two copies outside ServiceTrade.

ServiceTrade publishes one self-serve export path we could verify on its own site: the job list export, in a guide for one of its integrations. Its help center sits behind a login, so the steps for companies, locations, assets and inspection reports aren't public. What ServiceTrade does publish clearly is its Master Services Agreement, which gives you 30 days after termination to download your data.1

This guide shows the verified job export as an animated illustration, the contract clauses that set your deadline, what to ask ServiceTrade in writing, and the commercial records you're likely obliged to keep.

What you'll end up with

If you're a residential-first shop heading to TradesWork, only customers and a price list import, through its Another system or a spreadsheet option. For a commercial contractor, most of this kit is a records-retention job.

Start with the contract

ServiceTrade's Master Services Agreement sets the timing:1

ClauseWhat it says
§10.b OwnershipYou are and remain the sole owner of your data; ServiceTrade may use it aggregated or de-identified
§11.a RenewalRenews automatically for one-year periods
§11.a NoticeWritten non-renewal notice at least 30 days before the current term ends
§11.c After terminationData available for download for 30 days, then may be permanently deleted

So there are two dates to diary: the non-renewal notice deadline, and the last day of the 30-day download window. Plan to have everything before the first one.

1. Export your job list

ServiceTrade's guide for its Foundation integration describes the job export.2

  1. 1Job list
  2. 2Search
  3. 3Export to Spreadsheet
  4. 4Jobs
Illustration of the steps in ServiceTrade extensions: Foundation job import. Not ServiceTrade's actual screen; menus can differ by plan and version.
  1. Go to the ServiceTrade job list.
  2. Search for the jobs you want, for example by date range.
  3. Choose Export to Spreadsheet, then Jobs.
  4. Save the file to your computer.

The guide matches each job to a customer using the external ID of the job's location, which tells you something useful: keep location identifiers in your files so jobs can be matched back to sites later. For a long history, export a year at a time and name each file with its range.

Gotcha: the export covers the jobs your search returned. If the row count looks short, widen the search and run it again.

2. Ask ServiceTrade how to export everything else

The guide above suggests list screens can export to a spreadsheet, but we couldn't verify which ones, so we don't illustrate them. Email ServiceTrade support and ask, record by record, whether you can export it yourself, from which screen, in what format, and if not, whether ServiceTrade will produce it:

Records to request from ServiceTrade

  • Companies (customers), with IDs
  • Locations, linked to companies, with external IDs
  • Contacts per location
  • Assets and equipment history by location
  • Recurring services and contracts: sites, assets, frequency, price
  • Jobs and appointments, with techs, hours and totals
  • Quotes, with status
  • Invoices and payments
  • Deficiencies, open and resolved, with photos
  • Inspection reports, by location and date
  • Purchase orders and parts, if you use them
  • Attachments and signed documents in bulk
  • Your service and price lists
  • Which roles can run each export
  1. 1

    Send it

From the account holder's company email, before you give notice.

  2. 2

    Get the answer in writing

Screen, format and timing for each record, or a clear no.

  3. 3

    Open every file

Row counts against ServiceTrade's screens; location IDs present; totals against accounting.

  4. 4

    Follow up

Anything missing goes back in writing the same week.

Keep the reply. It tells you what you can rebuild from and what's gone after 30 days.

3. Save inspection and deficiency records

Fire protection and life safety contractors usually have obligations to keep inspection records and to show customers and authorities what was inspected and what was found. ServiceTrade lists deficiency capture across its suites and inspection and compliance workflows on its fire protection plans.3 Whatever ServiceTrade can export, make sure you leave with:

  • every inspection report as a PDF, by location and date,
  • every open deficiency, with photos and any quote sent, and
  • resolved deficiencies for at least the period your customers or jurisdiction require.

This is the part of the export you can't recreate later.

4. The API, if a developer needs it

ServiceTrade publishes a REST API reference and official libraries for Node, Python and PHP. Access isn't automatic: developers contact ServiceTrade, complete a review about the data they'll pull and how they'll use it, and accept its developer terms before getting an app key.4 If you have a developer pulling a full archive, this is the cleanest route for large data sets. Most shops won't need it.

5. Reconcile with your accounting system

ServiceTrade lists integrations with QuickBooks, Sage Intacct, Microsoft Dynamics 365, Acumatica, ComputerEase, Vista and Trimble Spectrum.5 If you use one, your invoices and A/R are also there. Compare open A/R customer by customer, list completed work not yet invoiced, and decide where old balances will be collected.

Customer portal accessThe portal belongs to ServiceTradeTell facility managers how reports will reach them

Permissions and timing

We couldn't verify which ServiceTrade roles can export which lists, so ask that in the same email. Have an administrator run the exports, and have the person who owns each area check its file: the service manager checks locations, assets and recurring services, the inspection lead checks reports and deficiencies, and the controller checks invoices and A/R.

  1. 90 days before term end

Read the Order, send the request

Confirm the term end and renewal language. Send the written request above.

  2. 60–90 days before

    First full export

Job lists by year, every other record ServiceTrade lets you export, and the inspection and deficiency reports.

  3. 30+ days before

    Send non-renewal notice

In writing, at least 30 days before the term ends, per §11.a. Keep proof of delivery.

  4. Last week of the term

    Final export

Re-run open jobs, deficiencies, contracts and A/R. Store two copies.

  5. Within 30 days after

    Download anything left

The §11.c window. After it, ServiceTrade may permanently delete your data.

These lead times are our suggestion, not ServiceTrade's. Fit them to your own Order.

Your ServiceTrade export kit

  • Written request sent and answered
  • Companies, locations and contacts
  • Assets by location
  • Recurring services and contracts
  • Every inspection report and deficiency, with photos
  • Invoices and payments, reconciled with accounting
  • Service and price list
  • Two copies stored outside ServiceTrade

How TradesWork handles these files

For a commercial-first ServiceTrade customer, TradesWork is usually the wrong destination: it has no inspection or deficiency workflows and no facility manager portal. For a residential-first shop, companies with locations and a price list come in through Another system or a spreadsheet, with column matching, a preview and a sandbox option. See the ServiceTrade to TradesWork migration guide and TradesWork vs ServiceTrade.
