In Zuper, nearly all your data comes out through one tool: the Report Builder. You build a Detailed Report on a module (customers, properties, jobs, invoices and so on), add the fields you need, and download it, up to 20,000 records at a time.12 The jobs list also has its own Export button that downloads an Excel file.3 For anything the reports don't reach, Zuper's trust center takes data requests.4
This guide is written by TradesWork. We don't have a Zuper account, so we don't show Zuper's own screens. Each animated diagram below redraws the click path from Zuper's documentation in plain boxes, with a link to the page it comes from. Checked October 15, 2026. Zuper is highly configurable, so your modules, field names and permissions may differ; ask your Zuper admin if a module or button is missing.
What you'll end up with
One file per module, plus a jobs list. Here's how they land if your next system is TradesWork; most other systems treat them much the same way.
- Customer reportImportsCustomers and service locationsName, phone, email and address matched on screen. Add the main property's address fields so each customer gets a service location.
- Organization reportPartlyCustomersImports as a second customer file; an organization name with no person name comes in as a commercial customer. Contacts are added by hand.
- Products reportImportsPrice bookEach row needs a name and a price. Code, description, category and cost come across when matched.
- Property, Assets, Service Contracts reportsKeep as archiveLocations, equipment and memberships you set upUse them as your lists. The spreadsheet importer takes customers and price lists only.
- Jobs, Estimates, Invoices reportsKeep as archiveYour archiveCollect open balances where you billed them.
Before you start: map your modules
Zuper's Report Builder has 12 modules, each of which can be the primary module of a report:1
| Module | What it holds | Export priority |
|---|---|---|
| Customer | Individual contacts who receive service | Essential |
| Organization | Company-level clients, with billing and contact details | Essential if you serve businesses |
| Property | Service locations, each linked to a customer or organization | Essential |
| Products | Parts, products and services in your catalog | Essential (your price book) |
| Assets | Equipment and other tracked assets | Important for service work |
| Service Contracts | Ongoing maintenance or service agreements | Important for recurring revenue |
| Jobs | Work orders, with time logs and service tasks | History |
| Estimates | Quotes sent before a job is confirmed | Open ones matter most |
| Invoices | Billing records from jobs or created by hand | History and open balances |
| Users, Teams, Timesheets | People and time | Reference |
Custom fields appear in the Report Builder where your admin has set them up.1 Older pre-built reports, such as the Jobs Master Report, sit under Legacy Reports; they're on every plan but can't be customized, scheduled or shared.1
1. Build a report for each module
- 1Reports
- 2Reports (beta)
- 3+ Create New Report
- 4Detailed Report
From Zuper's documentation:2
- In the left navigation, click Reports, then Reports (beta).
- Click + Create New Report in the top right, choose Detailed Report, then Next.
- Pick the primary module. It decides what each row is: one row per customer, per job, per invoice. Click Next.
- Optionally add up to three more modules, for example Customer and Property on a Jobs report, then Go to Builder.
- Add fields from Available Fields with the + icon or by dragging. Up to 30 columns.
- Under the Filter tab, Add Filter if you mean to (up to 10). For a full export, leave filters off.
- Give it a Title (up to 50 characters) and click Save Changes.
- Click View Report to open it, then download.
The documentation doesn't name the download button or the file format, so check the first file you get.2 Include IDs, names, addresses, dates, statuses and amounts on every report, so files can be joined later.
2. Mind the row limits
The Report Builder displays up to 2,000 records and previews 50 while you build; a download holds up to 20,000 records per file.2 A report over 20,000 rows can't be downloaded in one go. Zuper's suggestion: filter it under 20,000 (for example Job Status = Completed), download, then reverse the filter (Job Status is not Completed) and download the rest.2
For years of jobs or invoices, splitting by date works too: one report per year. Name each file with its module and range, such as "jobs 2025.xlsx", and check the counts add up to Zuper's total.
Reports to download
- Customer, with custom fields and the main property's address
- Organization, if you serve businesses
- Property, with the customer or organization on each row
- Products, with prices and costs
- Assets, with the property and customer
- Service Contracts, with dates and amounts
- Jobs, split under 20,000 rows per file
- Estimates, open ones at minimum
- Invoices, split by year, plus open balances
3. Export the jobs list
- 1Jobs
- 2Customize
- 3Export
For a quick jobs export: open Jobs, click Customize at the top right to choose and order columns, then click Export to preview the Jobs Report and download it as an Excel file.3 It's handy for open and scheduled jobs on cutover day. For full history, the Report Builder gives you more control.
4. Schedule the reports that change
- 1Reports
- 2Schedule Reports
- 3+ New Schedule Report
- 4Schedule Report
If you'll run Zuper and a new system side by side, schedule fresh copies. Click Schedule Reports, then + New Schedule Report, pick the folder and report, set the frequency (Daily, Weekly or Monthly) and send time, click Next, name the schedule, enter recipients, write the message and click Schedule Report.5 You can also schedule from the Schedule icon on the reports home page or from a report's own page.5
A daily copy of customers, open jobs and invoices means you always have yesterday's state in your inbox, even after you've stopped opening Zuper.
5. Request what the reports don't cover
- 1Your Data
- 2Raise a request
Zuper's trust center has a Your Data section: send a request for access, updates, migration or deletion of your data.4 Use it, in writing, for anything the reports don't reach, and ask what format you'll get and when.
What can't be exported, and how to keep it
We didn't find a documented bulk export in Zuper's documentation for:
- Photos, videos and attachments on jobs.
- Checklists and forms as filled in by techs.
- Workflows, job templates and automations.
- Stored cards. Customers keep up to five cards in the customer portal wallet, stored by Stripe; Zuper's documentation says neither the business nor Zuper can see the card details.6 Plan to re-collect cards from customers who pay automatically.
Your Data request to Zuper
- Please send all job photos, videos and attachments, with the job number on each
- Please send completed checklists and forms
- In what format and by when will we receive them?
- What happens to our data, and for how long can we reach it, after our agreement ends?
Permissions and plan limits
| Item | What Zuper says | What to do |
|---|---|---|
| Report Builder | Reports, Reports (beta); fields depend on your account setup1 | Ask your admin for access to every module |
| Columns and filters | Up to 30 columns and 10 filters per report2 | Build a second report if you need more columns |
| On-screen and download | 2,000 shown; 20,000 per download2 | Split by status or year |
| Legacy reports | Every plan; no customizing, scheduling or sharing1 | Use the Report Builder for exports |
| Scheduling | Daily, weekly or monthly to the recipients you set5 | Schedule for the side-by-side run |
| Data requests | Your Data on the trust center4 | Send early, save the reply |
Zuper's own data import accepts single-sheet CSV files up to 25 MB and 20,000 rows.7 Many systems have similar limits, so keeping each export under 20,000 rows makes the files easier to import anywhere.
A realistic export schedule
Day 1
Map and build
List the modules you use, then build and save one Detailed Report per module. Check each on screen before you download.
Day 1
Master data
Download Customer, Organization, Property, Products, Assets and Service Contracts. Open each file and check its row count.
Day 2
History and request
Download Jobs, Estimates and Invoices, split to stay under 20,000 rows. Raise the Your Data request.
Side-by-side run
Daily copies
Schedule customers, open jobs and invoices to email you daily.
Cutover day
Final run
Re-run customers, open jobs, open estimates and invoices after the last job closes in Zuper.
Before you end Zuper
- One report per module downloaded, each under 20,000 rows, counts checked
- Jobs list exported on cutover day
- Your Data request sent and reply saved
- Daily schedules set for the side-by-side run, then removed
- Agreement end date and notice period checked
- Every file named with module, range and date, stored outside Zuper
Where to take the files
Customers, properties and products are what most systems can import. Jobs, invoices, assets and contracts are usually archive.
If you're moving to TradesWork, its spreadsheet importer reads a customers file (each customer with its main address) and a products file as your price book, with a column review, a preview and a sandbox company before anything touches your real account. Extra properties, assets, contracts and history don't import, and TradesWork isn't built for roofing or heavy configuration, so read TradesWork vs Zuper first. The full plan is in migrating from Zuper to TradesWork.
