What every landscaping invoice needs

  • Your business name, address, phone and license number
  • Invoice number, date and due date
  • Customer name, billing address and service address
  • A line for every service, part and fee, with quantity and rate
  • Tax, total, payments received and balance due
  • Payment terms and how to pay

Pricing landscaping work

  • Build a man-hour rate first: (annual labor cost incl. payroll taxes and burden + annual overhead + target profit) ÷ billable man-hours you expect to sell. Every price starts from this number.
  • Price maintenance as man-hours per visit × man-hour rate + materials with markup. Annual price = per-visit price × visits per season; monthly agreement payment = annual price ÷ 12.
  • Price installs from your own production rates (e.g. square feet of pavers per man-hour from past jobs) × man-hour rate, plus materials marked up to your target margin: price = cost ÷ (1 − margin).
  • Add an equipment charge per hour for skid steers, aerators and trucks so the machine pays for itself, rather than burying it in overhead.
