How to cancel Housecall Pro without losing your data

How to cancel Housecall Pro step by step: check your renewal, export customers and jobs, run side by side, cancel through Support and confirm in writing.

Updated October 15, 2026 · 8 min read

The steps at a glance

  1. 1

Check your plan, billing cycle and renewal date

Look up whether you pay monthly or annually and when the next charge falls. Housecall Pro's terms say all subscriptions renew automatically unless terminated before renewal, so start well ahead of that date.

  2. 2

    Export your customers and jobs

As an admin, open Customers, click Actions, then Export, and confirm the email address. Do the same from Jobs. Housecall Pro emails each CSV from notifications@housecallpro.com.

  3. 3

Save everything else you'll want later

Make a list of what isn't in those two files: price book, estimates, invoices, service plans, reports, photos and review history. Save what you can, and ask Support in writing how to get the rest before you cancel.

  4. 4

Set up the new system and run both side by side

Import customers and your price book into the new system, move one crew first, then the office. Keep Housecall Pro live until the new system has run cleanly for a week or two.

  5. 5

Plan cards on file and recurring service plans

Saved cards don't move between payment processors. Ask customers on recurring plans to save a card in the new system, and stop each plan's billing in Housecall Pro only once the new one is ready.

  6. 6

Sort out phone numbers and links

Update your website booking button, review links and email signatures. If you use Housecall Pro's phone features, ask Support in writing how to keep or move your numbers before you cancel.

  7. 7

    Start the cancellation through Support

In your Housecall Pro account, click the blue chat bubble, choose Support, then Send us a message, and say you want to cancel. The Billing team reaches out within 1 to 3 business days, often from an 858 area code.

  8. 8

Make sure the account owner takes the call

Housecall Pro's help center says cancellation can't be fully processed, and billing can't be paused, until a team member has spoken with the account owner by phone.

  9. 9

Get written confirmation and keep your archive

Ask for an email confirming the cancellation and the date access ends. Check that no further charges appear, and store your exports somewhere permanent.

Cancelling Housecall Pro is not complicated, but it isn't a one-click job either. Its help center says the cancellation runs through Support and a phone call with the account owner. The bigger risk isn't the call, though. It's cancelling before you've got your data out and your new system running.

This guide walks through the order that protects you: check your dates, export, run both systems side by side, then cancel. We cite Housecall Pro's own help center, pricing page and terms throughout, checked October 15, 2026.

Before you start: know what you're cancelling

Housecall Pro sells Basic, Essentials and Max on monthly or annual billing, and says it doesn't require long-term contracts (pricing). That's genuinely helpful when you leave. But two details in its terms matter:

  • Auto-renewal. The terms say all subscriptions renew automatically unless terminated before renewal, and charge your payment method the then-current fee.
  • No prorated refunds. Subscription fees aren't prorated or refunded except as the terms set out. If you paid for a year, plan to use the year rather than expect money back.

So step one is simple: find your billing cycle and next renewal date in your account, and work back from it. If you pay monthly, you have flexibility. If you're on annual, your renewal date is your deadline.

Also list your add-ons. Housecall Pro sells CSR AI, Pipeline, Payroll, Accounting, Voice, Campaigns, dashcams, Tap to Pay and Websites as add-ons. Each one may have data, phone numbers or hardware that needs its own plan.

Step 1: Export your customers and jobs

Housecall Pro's help center explains how to export both lists (import and export):

  • Customers: select Customers in the left navigation, click Actions on the right, choose Export, confirm the email address and click Send file.
  • Jobs: select Jobs in the left navigation, click Actions, choose Export, confirm the email and click Send File.

Each file arrives by email from notifications@housecallpro.com as a CSV. Only employees listed as Admins can run these exports, so if the option is missing, check your role.

Open each file and check it. Do the customer counts look right? Are service addresses there for customers with more than one property? Do the jobs include the date range you need? If an export is incomplete, ask Support while you still have full access.

Step 2: Save everything else

Customers and jobs are the core, but they aren't everything. Make a list of what else your business relies on:

  • Your price book (services and materials, with prices)
  • Open estimates you're still chasing
  • Invoices, especially unpaid ones
  • Recurring service plans, with each customer's plan, price and next visit
  • Reports you use for taxes, commissions or bonuses
  • Job photos and attachments you might need for warranty or disputes
  • Reviews and marketing lists

For anything you can't export yourself, ask Support in writing how to get it before you cancel. Keep the reply. Once your account is disabled, it's too late to ask.

Step 3: Set up the new system and run both

Don't cancel and then start setting up. Run both systems side by side for a week or two:

  1. Import customers and your price book into the new system.
  2. Move one crew first. Book, dispatch and invoice their jobs in the new system.
  3. Move the office once that crew is running cleanly.
  4. Move the remaining crews.
  5. Keep Housecall Pro live, read-only in practice, until nothing new is being entered there.

If you're moving to TradesWork, its Housecall Pro importer reads the files from Step 1 and your price book and service plan exports. It brings over customers with service addresses, job history, invoices with paid amounts, the price book, and service plans as memberships, with membership billing held until you start it. Those Housecall Pro layouts are still being validated against real exports, so keep your original files. Equipment and photos don't come across.

Step 4: Plan cards on file and recurring billing

Stored cards are the part most shops underestimate. Card numbers sit with the payment processor, not in your exports, and they generally can't simply be moved to a new system.

The practical approach:

  • Make a list of every customer with a card on file, starting with recurring service plan customers.
  • Ask them to save a card in the new system through a secure link, ideally a week or so before their next charge.
  • Stop each plan's billing in Housecall Pro only once that customer is set up in the new system, so nobody is charged twice or missed.

Small things that are easy to forget:

  • Booking links. Swap the online booking button on your website and Google profile.
  • Review links. Point review requests at the new system or your Google profile directly.
  • Phone numbers. Housecall Pro's terms say your pro notification phone number is held for 90 days after you cancel. If you use its phone features, ask Support in writing how to keep or move your numbers before you cancel, and start any port early.
  • Financing and payments. If customers have open financing applications or payment links, finish those first.

Step 6: Start the cancellation through Support

When the new system is running, cancel. Housecall Pro's help center describes the process (billing and account management):

  1. Click the blue chat bubble in the bottom right of your Housecall Pro account.
  2. Select Support, then "Send us a message."
  3. Tell the representative you want to cancel.
  4. The Billing team reaches out within 1 to 3 business days. Watch for calls from an 858 area code.

The key detail: the help center says cancellation can't be fully processed, and billing can't be paused, until a team member has spoken with the account owner over the phone. If the owner is hard to reach, schedule the call. Don't let it slide past a renewal date.

Housecall Pro's terms also give cancellations@housecallpro.com as the address to cancel and request a refund. Sending a short email there as well gives you a written record. Include your company name, the account owner's name, the account email and the date you want service to end.

Step 7: Refunds, if any

Refunds are limited. The help center describes a 30-day money-back guarantee: a full refund of the monthly subscription fee if you cancel within the first 30 days, but only if you were offered the guarantee at sign-up and the offer is documented. Setup fees, postcards, chargebacks and other items outside the basic subscription aren't refundable. Refund requests go to cancellations@housecallpro.com.

Beyond that, the terms say fees aren't refunded except as they set out. If a refund was promised to you by a rep, have that email ready.

Step 8: Confirm the end and keep your archive

After the call:

  • Get an email confirming the cancellation and the date your access ends.
  • Watch your next statement to make sure no further subscription or add-on charges appear.
  • Store your exports somewhere permanent, outside any one software tool.

Remember the timing in the terms: once you terminate, your account is disabled within 14 days, and Housecall Pro may keep your information but has no obligation to. Your customer data stays your property, but the practical copy is the one you exported.

A simple timeline

For a shop paying monthly, a realistic plan looks like this:

  • Week 1: check dates, run exports, list what else you need, pick and set up the new system.
  • Weeks 2 to 3: one crew on the new system, then the office. Start the card re-collection campaign.
  • Week 4: remaining crews move. Swap booking and review links.
  • Week 5: start the cancellation in chat, take the owner call, get written confirmation.

If you're on annual billing, slide the whole plan so Week 5 lands before your renewal date.
